Coordinator

The Coordinator will work closely with the Executive Vice President and Managing Director of The Movie Group to perform various functions needed to assist with the project management and client service of The Movie Group.
This includes assisting with vendor coordination, client communication, and project management.
POSITION QUALIFICATIONS:
This position requires excellent time & project management skills as well as the following qualifications:
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Assist with project management and set up (i.e. managing rental requests, drafting of project materials, project entry and other record-keeping and internal reference documents.)
- Assist with vendor booking and tracking.
- Build profit and loss statements and assist with cost tracking management.
- Manage and coordinate gifts for clients for the holiday season and special occasions throughout the year.
- Manages calendar for the Executive Vice President and Managing Director of The Movie Group as needed; Schedules & prioritizes meetings/appointments.
- Arranges travel for the Executive Vice President and for the Managing Director and The Movie Group as needed & coordinates logistics (e.g., hotels, cars, reservations, catering, etc.); Creates & confirms itineraries and/or agendas; Compiles & prepares documents/materials for client presentations & travel-related meetings; Completes expense reports.
- Composes letters, memos, directives, and emails for client deliverables and tracks client project access and permissions.
- Handles confidential information with the utmost discretion; Stays up to date on current issues/concerns within the organization and conveys relevant information to the Managing Director and The Movie Group.
- Manage internal documentation of company practices and protocols for current and new products.
- Completes other duties, tasks & special projects as assigned by the Managing Director and The Movie Group.
- Be cross-trained in both company proprietary and third-party systems and functions related to project management and client service.
Education, Training & Experience:
- High school diploma or general education degree (GED) required; College experience preferred.
- Strong skills in Microsoft Office (Word, Excel, PowerPoint, and Outlook) required.
- Internet-savvy with an ability to problem-solve issues by using online resources.
- Strong oral and written communication and interpersonal skills.
- Previous office assistant or executive assistant experience is a plus, but not required.
- Experience in Market Research or Entertainment Market Research is a plus, but not required.
